This article outlines the process of automating your waiting area or user room links using Clinic To Cloud.
Step 1: Retrieve Your Coviu Waiting Area Link
Before setting up appointment reminders in Clinic To Cloud, first access your Coviu Waiting Area link. This is the link your patients will use to join their telehealth appointments.
Note: If you haven’t created a specific “telehealth” appointment type yet, click here for instructions.
Step 2: Navigate to Clinic To Cloud and Access Notification Settings
Once you have your Coviu Waiting Area link, follow these steps to create a new appointment reminder in Clinic To Cloud:
- Open Clinic To Cloud and go to Settings.
- Select Notifications.
Step 3: Create a New Notification
You can create either an Email or an SMS notification. Here's how to proceed:
- Click on New Notification.
- Give your reminder a name. We recommend naming it something like Telehealth Reminder to make it easily identifiable.
Step 4: Set Up Reminder Preferences

Notify Before: Select how many days before the appointment the reminder should be sent, or if it should be sent on the same day. At a minimum, we recommend setting the reminder to go out 24 hours before the appointment. For extra assurance, set up a same-day reminder.

Time to Send: Choose the time period during which you want the reminder to be sent. If sending a same-day SMS, we suggest using the 8:00 AM–12:00 PM time block.
Step 5: Customize Locations, Appointment Types, and Doctors

Locations: Choose the location(s) the reminder will apply to. If left blank, the reminder will be sent for all locations.

Appointment Type: Select the appointment type for telehealth from the previously created appointment type. Leaving this blank will send the reminder for all appointment types.

Doctors: Choose the doctors the reminder applies to. If left blank, the reminder will be sent for all doctors.
Step 6: Add Reminder Message Text
Next, compose the message patients will receive. Use the tags on the left side to automatically pull in relevant information like patient names or appointment times. For telehealth appointments, we recommend including the Coviu Waiting Area link.
Here’s an example of a message:
“Hi [PatientFirstName], click here for your telehealth appointment on [AppointmentStartDate] [AppointmentStartTime]: [Paste your Coviu Waiting Area Link]"
You can also use Appointment SMS Verification tags to allow the patient to confirm or cancel the appointment by replying to the SMS.
Step 7: Activate and Save the Notification
Ensure that the Is Active option is selected to allow the reminder to be sent automatically.
Once everything is set up, click Create. Your reminder is now active and will be sent to patients as scheduled.
