This guide walks you through automating your Coviu waiting area links using Genie’s SMS Automation Manager. It simplifies the process of sending appointment reminders with telehealth links to your patients via SMS.
Step 1: Get Your Coviu Waiting Area Link
Before you begin setting up appointment reminders in Genie, first retrieve the waiting area link from your Coviu account. This is the link your patients will use to join their telehealth appointment.
Note: If you haven't created a specific "telehealth" appointment type yet, click here for instructions.
Step 2: Open the SMS Automation Manager in Genie
Once you've copied the Coviu waiting area link, head over to Genie to start setting up SMS reminders:
- Navigate to Appts.
- Select SMS Reminders.
- Click Setup.
The SMS Automation Manager window will open, showing the Overview tab. This tab displays your existing appointment reminders for users and appointment types, along with the assigned template.
Step 3: Create a New Template for Telehealth Appointments
To create a new SMS reminder template specifically for telehealth appointments:
-
Click on the Templates menu.
-
Select the + button to create a new template.
-
Name the template: Telehealth Reminder.
-
In the message content field, write the following (or adjust as necessary):
“Hi <patientName>, for your appointment with <providerName> on <appointmentDate> at <appointmentTime> click here 5 minutes before your appointment: [your Coviu Waiting Area link].” -
Click Save Template once you're done.
Step 4: Assign the Telehealth Template to Users and Appointment Types
To integrate the template into your practice's automation:
- Go to the Assigned Templates section.
- Choose the users who handle telehealth appointments. If you’re using a general link for the entire practice, select All Users.
- Next, select the Telehealth appointment type you’ve created earlier.
- Assign the newly created template by clicking the + button.
To remove a template from an appointment type, select the user and appointment type, then hold down the Alt key (on Windows) or Option key (on Mac) and click the blue + button on the right.
Step 5: Verify Your Automation
Finally, return to the Overview tab to review your setup. Ensure that the correct template is assigned to the telehealth appointment type and users.
Once everything is set, your telehealth reminders will be automated, making it easier for your patients to join their online consultations.
