How to Start Waiting Area Group Calls

This article describes how to use the Waiting Area Group Call feature, allowing you to easily group specific guests from the Waiting Area into a Group Call.

What is the Waiting Area Group Call feature?

Our Group Rooms feature allows you to hold meetings, multidisciplinary consultations or group therapy sessions with larger groups. Generally up to 15 participants depending on available internet bandwidth for all participants.

The Waiting Area Group Call feature is an extension of our Group Rooms feature and allows you to quickly group specific guests from your Waiting Area into a single video call.

Nothing changes in terms of the workflow for the Waiting Area (i.e. invitations can be sent via email or SMS from your Coviu account, or you can copy the room link into an email or calendar invitation).


How to hold a Group Call in the Waiting Area

Group Calls in the Waiting Area are easy to set up and participate in. Guests are invited to the Waiting Area using your current processes for sending the clinic link, along with any other information regarding the appointment. The required participants can then be selected from the list of callers in the Waiting Area and the Group Call can be joined. Follow these steps:

  1. Send out the appointment information using your current processes, including the clinic link for accessing the Waiting Area.
  2. Invited callers use the clinic link to arrive in the clinic Waiting Area before the appointment time. In the below example, there are 5 guests in the clinic Waiting Area.
  3. Click on the Group Call icon at the top right of the Waiting Area and checkboxes will appear to the left of all Waiting callers.
  4. Select the waiting callers you would like to join in a Group Call. Remember there may be callers waiting to see other health service providers in your team, so you just need to know the names of the people you would like in the Group Call. In the below example, we have selected 4 of the 6 participants for the Group Call.
  5. When you are ready to join the selected participants, click the Join [number of] Callers button at the top right above the list of callers.

    The Group Call begins and the screen opens in a new tab or window in your browser (depending on your web browser settings). You will see all selected participants in the Group Call.
  6. If you need to add other waiting callers to the Group Call once it has been joined, navigate back to the Waiting Area (which is open in a separate tab or window in your web browser) and use the Add button to add them to your Group Call.
